PARTICIPATION : Application for participation is to be made in the prescribed form . Approval of participation will be at the sole discretion of India Trade Promotion Organisation. Bulk booking of space is not allowed. Any booking made by a company participating in IITF or any other fair either organized by ITPO or any third party is an exclusive contract between such company and the customer booking the goods after paying earnest money.
ITPO shall not be a party in any dispute between the participants and their customers; if ITPO is put to any loss for the acts of omission and /or commission of/by the participant, the same shall be made good/indemnified by such participant. |

SPACE ALLOCATION : Application completed in all respects and accompanied by 50% advance payment will only be considered for allocation of space. Space will be allocated to the company by name and no sub-letting will be allowed. The space will be allotted on first-come-first-served basis subject to optimum utilization of space and on the basis of their product profile as well as Hall-wise display sections. The allocation of space will be done by committee constituted by ITPO and on the basis of product profile allotted to each hall. |

CONSTRUCTION OF STAND IN BARE SPACE : Exhibitors who book bare space will require prior approval for layout and interior design of stalls from the IITF unit, ITPO keeping in view public safety, free access to public facilities & conveniences, safety to ITPO property etc. failing which possession of space will not be given. Cable terminals for telephone connections, outlets for electricity and water and convenience to fellow exhibitors must not be obstructed. In case the height of stall is required beyond 2.40 mtr. at some location, the same shall be specifically brought to the notice of IITF Unit for prior concurrence before execution. |

SHELL SCHEME : ITPO will provide a built-up booth constructed with prefab system with a height of 2.4 mtr. with fascia writing, carpet, one podium, one table, four chairs, one power plug and seven spotlights (stand lighting up to 1 KW) in booth 15/20 sq. mtrs. Each panel will be of 1 mtr. wide with white board. Only 25 per cent of the outdoor area can be covered mainly for office purpose. For any area covered beyond 25 per cent of the space, 50 per cent extra participation fee is payable. Open space is to be used for display only. Exhibits must not obstruct passages. Fire extinguishers, cable terminals, cable terminals for phone connection, outlets for electricity and water must not be obstructed. No nailing will be allowed for fixing photographs, posters, banners etc. |

PAYMENT : 50 % required along with application form. An early bird discount of 5% on Full payment on or before 31st July 2008, 3% discount on full payment between 1st August to 30 th September 2008 is available. |

PAYMENT SCHEDULE : Payments of stall charges shall be made as follows:
- 50% advance payment for booking of space.
- Balance 50% before 20th October, 2008.(positively)
If the payment is not received by the date, the allocated exhibition space will become void and made available to other exhibitors. No refund will be made on cancellation or reduction of stall space. All payments are to be made by Demand Draft drawn in favour of India Trade Promotion Organisation, New Delhi. Foreign exhibitors can also send their participation fee through banking channels. POSSESSION OF SPACE : Possession of space will be given only on receipt of full payment including electricity, water charges and other dues, if any, on or before 1st November, 2008. However, display arrangements are to be completed on or before 13th November,2008 by 10.00 a.m. |

STALL ALTERATION :
- No alteration of the size or position of an exhibitor's stall is permitted.
- ITPO reserves the right to modify the layouts of stall sites and gangways.
- Usage of nails, pins, tacks, screws, or any such material on the panel walls of the Built up stall is prohibited.

PASSAGE : Exhibits must not obstruct passages. Public passages and gangways should be left clear. No hindrances, protrusion of exhibits shall be permitted otherwise it will attract penalty for the participant whose goods/products were found obstruction passages/gangways etc. |

SUB-LETTING AND USE OF PASSAGE : ITPO will have the right to close the stall for sub-letted to other party or extra passage space has been encroached. This will also attract penalty/fine from such participant. |

SECURITY : While ITPO will make the general security arrangements, participants will be responsible for the security of their exhibits and stalls. List of exhibits should be verified and certified by Security Agency/Security Guards before handing over to them on daily basis as ITPO does not take any responsibility of thefts, etc. |

FIRE PREVENTION : Smoking and cooking is prohibited inside the exhibition halls. Halogen and other floodlights are not permitted. Use of fire hazard material like thatch, dry grass and other inflammable materials is not permitted. Electrical wiring under the carpets is a potential fire risk. Wherever this is unavoidable, adequate precautions should be taken by covering the wiring by wooden ramps. Wiring under the carpet should not have joints. Participants will keep and maintain fire-fighting equipment withing their stalls as per safety regulations. Arrangements of fire extinguishers in stalls/pavilions will be the responsibility of the individual participants. However, fire extinguishers on rent can be provided by ITPO, depending upon availability. |

INSURANCE : Participants will insure their exhibits and display materials against loss, damage, theft, fire or any cause whatsoever. They will also obtain third party insurance cover for construction period, fair period and dismantling period. |

DAMAGE TO EXHIBITION AREAS : Exhibitors are required to indemnify ITPO against any claim made against them in respect of damage to Exhibition Halls, structure or property caused by exhibitors stall, exhibits of staff or by agents acting on the Exhibitor's behalf. |

FLAMMABLE MATERIALS : All materials used in the construction of stalls and displays are to be fully fire proof and comply with all other local regulations. No gas cylinders will be used in the premises. |

PRODUCT LIABILITY INSURANCE : Exhibitors are advised to insure against claim arising out of body injury and / or property damage. An Exhibitor shall produce to the ITPO, on demand, certificates of insurance. |

SERVICE AGENCIES : Work of cargo handling, clearing, construction of stand, decoration, furniture and catering can be availed by the participants only from those contractors who are registered with ITPO. No other contractors will be allowed to provide services in Pragati Maidan. |

FAILURE OF SERVICE : ITPO will use their best endeavours to ensure the supply of the services mentioned in the Application Form, but if the supply of such services are not within the control of the ITPO, then no exhibitor is entitled for any damage incurred due to failure of services. |

ENTRY/EXIT TO PRAGATI MAIDAN FOR EXHIBITORS : Entry into Pragati Maidan of representatives of participants will be on the basis of exhibitor passes issued by ITPO. Each participant will be entitled to five exhibitor passes for a minimum of 15 sq.mtrs. and one additional pass will be admissible on each additional 3 sq.mtrs. space. No exhibitor passes will be provided by ITPO until space rentals & fees for extra services are provided by the participants.
In addition, single entry complimentary invitation for business hours will be provided on the basis of one invitation per 5 sq.mtr.space booked. |

CLEANLINESS AND MAINTENANCE : The participants will be responsible for cleanliness and maintenance of their stalls. Cleaning of common passages/areas will be arranged by ITPO. Participants will be responsible for removal of empties, waste material on 12th November, 2008. No empties or wooden material shall be allowed to be kept behind the partitions of stall. If a participant is allotted a full hall, the cleanliness of the entire hall will be the responsibility of that participant. |

ATTENDANCE AT THE STAND : No stand should be left unattended during the exhibition hours. The participants will not carry out any activity, which in the opinion of ITPO amounts to nuisance or annoyance. ITPO shall have the right to take remedial action as deemed fit. |

VACATION OF SPACE : Space will have to be vacated within two days of the close of the Fair. Participants who fail to vacate the space will be liable to pay penalty to ITPO (as prescribed by ITPO) and the ITPO shall have the right to remove the exhibits / materials etc. of participants at the risk and cost of participants. Storage of exhibits in the open area will not be permitted after the close of the Fair and will attract penal rent as intimated by ITPO. |

ELECTRICAL INSTALLATION : All on-site electrical installations must be carried out by the registered / empanelled Electrical Contractor of ITPO. All prefabricated fittings will be subject to an inspection by the official contractor before connection to the mains supply. |

EXTRA ELECTRICITY CHARGES : Extra power would be made available on payment basis. Extra power would be provided on request latest by 14th November, 2008 @ Rs. 190/- per K.W. and consumption charges @ Rs. 130/- per K.W. Per day. 5% will be charged as service charges (Subject to Revision) + 12.36 % service tax. |

WATER CHARGES : Rs. 2810/- would be charged for water connection + Rs. 450/- per tap per day is payable. For water consumption and supply 5% contingency charges + 12.36% service tax will be payable additionally. Request for water connection should be made along with payment one month prior to the commencement of the event. Water connection will be at the existing point.
State Pavilions / Ministries : Mixed load Light + Power will be provided at the rate of Rs. 130 per KW per day + Rs. 190 per KW service connection charges + 5% Service Tax/Contingency Tax (Subject to Revision) + 12.36 % service tax. |

REFUNDABLE SECURITY DEPOSIT : Refundable security deposit will be charged @5% on the space rent from National Participants only.
Note: Electricity & water consumption charges are subject to revision. Compressed air can be provided on demand on payment.
- For Exhibits: Entry of vehicles in Pragati Maidan during exhibition hours will not be permissible. However, vehicles carrying exhibits etc. may be allowed to enter into Pragati Maidan up to 9.00 a.m. and after 8.30 p.m. with the prior approval of Security Division during Fair Days.
- No exhibits/cases/display material will be allowed to be taken out of Pragati Maidan after the close of the Fair without Exit Permit which will be issued by the Central Control Room on production of clearance certificate.
- All entry/exit of vehicles to and from Pragati Maidan will be from Gate 4 or as notified.

CAR PARKING : Car parking labels will be available on payment only. These parking labels will be available at Gate No.1. |

PAID EXHIBITOR PASSES : Extra exhibitor passes would be give @ Rs. 350/- each. |

DRESS CODE AND NOISE LEVEL : The IITF is a business-oriented international event attended by domestic as well as be overseas business personnel and visitors. It is, therefore, necessary that hosts/hostesses and presenters, who often promote different products and services on behalf of the exhibitors, be decently attired, keeping in view the law of the land and India's cultural ethos. Many exhibitors use loud speakers for playing music, making announcements and other promotional means for attracting visitors. While doing so, it is essential to ensure that no nuisance/disturbance is caused to other exhibitors and annoyance to the visitors. Hence, the sound level is not allowed to exceed 7 decibels. |

REFUND : No refund of license fee will be made by ITPO. |

INTERPRETATION : The decision of CMD, ITPO or his nominee shall be final and binding on the participant about the rules and regulations. |

DISPUTES : Disputes, if any arising out of participation in this fair shall fall within the jurisdiction of the courts of Delhi / New Delhi. |

SMOKING PROHIBITED : Smoking at Pragati Maidan premises/Exhibition ground/Halls is strictly prohibited. |
| • |
VIOLATION OF RULES : In the event of violation of these rules, ITPO shall have the right to close down the stall of the participant immediately and no refund of participation charges would be considered. |

EXIT PERMIT : All participant are required to submit their participation report on prescribed format given by Central Board Room. Exit permit will be issued on receipt of the same and clearance of all dues. |

Delhi Value Added Tax Act (VAT) : It may be noted to all exhibitors that registration under Section 16A of the Delhi Value Added Tax Act is Mandatory before commencing any business during the exhibition. A casual dealer is required to inform to the Department of Trade and Taxes at least three days before commencement of business in Delhi. While three days is the outer limit to apply for registration as a casual dealer, there is no lower limit for the purpose.
Failure to adhere to the rules would attract penalty under various sections of the Act.
For the benefit of the exhibitors who are not registered, the enclosure forms in the Exhibitors' Manual can be used for getting the registration. |
